Where Does Your Customer’s Driver’s License End Up? Data Security in Car Rentals
At every handover you collect:
- an ID
- a driver’s license
- a signature
- photos
Within a year that becomes an archive that anyone with bad intentions would love to get hold of.
Where does that archive live today?
Where customer data wanders without a system
Often it isn’t a hacker that threatens it, but plain human error. Documents tend to live:
- in a paper binder at reception,
- in an Excel file on a shared drive,
- in phone galleries and chats,
- in an email someone forwarded “just in case.”
Every such place is another copy you have to guard.
Five questions for every software vendor
Use them with every vendor, not just us. This is how Camasys answers them:
- Who sees what? Permissions by role and branch, approvals for sensitive actions, and a record of every event with user and timestamp. When something happens, you know who did what and when. Your team sees only what it needs.
- Is the data encrypted? Yes: TLS 1.2+ in transit and AES-256 at rest, for contracts, IDs, signatures, photos and reports. Locked on the way and in storage.
- What if something breaks? Encrypted, automated backups across multiple regions, with recovery to a chosen point in time. They don’t depend on one server or one room.
- Where are the card numbers? Payment data is tokenized (a safe placeholder value is stored instead of the card number) and kept by a PCI-compliant provider. Camasys never stores full card numbers or CVV. You can’t lose what you don’t hold.
- Who guards the door? Network isolation, least-privilege access, WAF/DDoS protection and continuous monitoring. The system doesn’t rely on a single lock.
It applies to everyone who collects documents
The same security principles apply across all three industries Camasys serves:
- Rental companies collect documents at every handover.
- Dealerships at test drives and loaner cars.
- Fleet owners from drivers who upload a driver’s license through the portal.
Why it matters
Most buyers ask about features and price. Security isn’t a feature your customer sees. But it’s the reason they hand over their documents in the first place. Customer trust is built slowly and lost quickly. Ask the question before your customer asks it for you.
Three steps for this week
- Count how many places hold copies of your customers’ documents today.
- Find out who has access to them, and whether they really need it.
- Ask your software vendor these five questions.
