“That Was Already There!” How a Car Rental Stops Arguing Over Every Scratch
A customer returns the car, and there’s a scratch on the right rear fender. “That was already there,” they say calmly. You’re not sure. The paper protocol has just one cross next to “rear bumper,” and the folder holds two blurry photos where you can’t see anything at all.
For the next twenty minutes you argue over whether it was there before or not. And often you let it go in the end, just to keep the client.
Why damage disputes happen
Customers usually aren’t lying. Both of you are missing the one thing: proof.
- a paper protocol with no photos
- pictures sitting on employees’ personal phones
- damage history scattered across Excel and email
- no way to tell who drove the car before
What it looks like with Camasys
Every damage has its own organized record: a timestamped photo, a cost and who is responsible. You see all of it in the vehicle profile.
- At handover, staff photograph the car in the mobile app.
- The customer signs it electronically.
- At return, you compare the car’s condition against the record.
- Any new damage is logged to the vehicle and the rental immediately.
The paperwork then takes two minutes. The proof is at hand, and the customer sees it too.
What about damage from three rentals ago?
This is where the value of transparent history shows. If a car has been through three rentals, the profile shows exactly when the damage first appeared. You don’t have to guess, and you don’t bill the wrong client.
What’s in it for the owner
Damage history follows the vehicle from purchase to sale, including repair costs. At a lease return or resale, you argue with real facts, not with memories of what happened and when.
It also helps fair customers. Nobody pays for damage they didn’t cause themselves.
“It will slow customers down”
It’s completely the opposite. Two minutes at the car saves twenty minutes of arguing and mistrust. Customers read it as professionalism, not suspicion.
How to start
You don’t need to change everything at once. Start with one branch and one rule: no car leaves without photos. The rest follows.
